To manage the Office of the Chief Executive Officer efficiently, to set the standards for administration and secretarial support throughout the Company and once approved implement, review and maintain.
Role Responsibilities:
Undertake activities as directed by the CEO including:
• Meet and greet the clients and attend telephone calls in a professional and courteous manner.
• Deal with e-mail and correspondence during associates absence from the office and taking appropriate action
• General Secretarial and Administrative duties including but not limited to:
. creating letters and typing correspondence,
. scheduling appointments and diarizing meetings,
. Drafting cover fax / email to clients / OA’s/ lawyers / developers etc
. handling incoming and outgoing mail,
.scanning, photocopying and filing of records,
. filling in expense forms,
. handling telephone calls etc.
• Specific duties will include the creation and amendments of documents, to a high degree of accuracy and often to tight deadlines; tracking changes in completed documents and ensuring that key reports, memorandums etc. are created and distributed in a presentable, professional format to company standards;
• Attend required meetings, training and other functions as directed by the CEO;
• Arranging CEO and other staff travel and accommodation, preparing and keeping a track of itineraries
• Keep sensitive material in confidence in accordance with the company confidentiality policies;
• Define standards for the Company’s written communications and once approved ensure their implementation throughout the company.
• Researching on the internet and other information sources.
• Filing personal documents and correspondence and maintaining personal files.
• Liaise with HR to ensure that leave and other absence records are maintained.
• Liaise with the Executives throughout the company to follow up on actions agreed with the CEO to ensure agreed timescales are met.
• Achieving mutually agreed key performance indicators as specified from time to time (e.g. meeting reporting deadline times).

Skills:
Personal Skills & Attributes:
• An Executive Secretary with at least 3 - 5 years of experience in a secretarial and administrative support role to a senior executive.
• You will be mature with a professional attitude; a team player with ability to delegate where necessary.
• You must have a high degree of accuracy and attention to detail in dealing with the most routine tasks.
• You must be a good communicator at all levels; and MUST speak good English.
• Fluency in Arabic will be a distinct advantage.
• You will have excellent organizational skills to support your CEO to manage and prioritize workload and work under pressure / within tight time constraints.
• Ability to work in a multi-ethnic environment.
• Knowledge of basic accounting functions is preferred.
• Must maintain strict confidentiality of all matters which are processed through the CEO’s office.
• You will have excellent skills in MS Office, with particular emphasis on Excel and Visio. Publisher and MS Project skills an advantage.
